Ashby Application Status: How to Check Where You Stand

Ashby gives candidates no login and no status page. Your inbox is the status page, so here is how to read the emails, what happens behind them, and when to follow up.

Ashby is the ATS behind a lot of newer tech and startup postings, the ones on jobs.ashbyhq.com. The application is usually one clean page. Then you submit, and there is nowhere to go back to: no account, no dashboard, no status.

Ashby doesn’t have a candidate portal. Its documentation is written for hiring teams, and none of it describes a place where candidates sign in to see where they stand. This post explains what that leaves you with: which emails to expect, what happens behind them, why rejections can arrive on a delay, and how to follow up. Where I describe how Ashby works, it comes from Ashby’s own docs.

Can you check your application status on Ashby?

No. You apply as a guest, and Ashby gives you nothing to sign in to afterwards, so there’s no status to check. The employer’s page on jobs.ashbyhq.com lists its open roles and hosts the form. It doesn’t know who you are when you come back.

What you actually have:

  1. Your inbox, including spam. Every update is an email.
  2. The posting. If the role disappears from the company’s Ashby page, it was filled, paused or closed. That tells you about the role, not your application.
  3. The recruiter, who can see your exact status.

Some employers add a custom message after you apply, a feature Ashby added so companies can tell candidates how soon to expect a response or what the next steps are. If you saw one, write down what it promised. It’s the only timeline you’ll get.

The emails you’ll get, and where they come from

Ashby sends automated emails from no-reply@ashbyhq.com, with a footer reading “Report this email to Ashby” that employers can’t remove. The display name on those emails is set by the employer. Emails a recruiter writes come from whatever sender they choose. Search your inbox for ashbyhq.com as well as the company name.

  • Application confirmation. Only sent if the employer set it up, and Ashby’s docs say it’s sent only to people who apply through the employer’s job board. No confirmation doesn’t mean your application was lost.
  • Scheduling emails. A booking link, an availability request, or a confirmed interview time. Any of these means a person moved you forward.
  • Take-home or assessment emails. A link to an exercise and a request to submit your work.
  • Offer emails. Drafted by the hiring team from your candidate profile.
  • Rejection emails. From a template the employer wrote, either sent by a recruiter when they archive you or sent automatically by an auto-reject rule.

What the hiring team sees that you don’t

Inside Ashby, every application carries a detailed status that the hiring team works from. Ashby documents these statuses in its help center, and none of them are shown to you. You can, however, often infer them from what lands in your inbox:

Internal Ashby statusWhat it meansWhat you notice
In Stage SinceSitting in a stage with nothing else pending.Silence.
Needs SchedulingAn interview or take-home is due but not set up yet.Usually still silence, briefly.
Booking Link Sent / Waiting on AvailabilityThe team is waiting on you to pick or offer times.A scheduling email. Answer it fast.
Scheduled / Waiting on FeedbackInterview booked, or done and awaiting interviewer feedback.A calendar invite, then quiet.
Waiting on Submission / Waiting on AssessmentA take-home or assessment is out with you.An exercise or test link.
Needs DecisionInterview complete; a hiring decision is next.Quiet after an interview.
Waiting on Offer AcceptanceThe offer is with you.An offer email or call.
ArchivedThe application is closed.A rejection email, or nothing.

The useful lesson: silence after an interview is normal. In Ashby, “Waiting on Feedback” and “Needs Decision” are both stages where the team is waiting on itself, not on you.

What “archived” means on Ashby

Archived means that application is closed. When a recruiter archives you, they pick an archive reason from a list the employer configures. You never see the reason, so you can’t tell whether it was a skills mismatch, a cancelled role or something else. Ashby also notes that a candidate can be archived on one application while still active on another, so a rejection for one role at a company doesn’t close the others.

Whether you hear about it is the employer’s call. Ashby’s docs say archiving prompts the recruiter with the option to send an email. They can decline, which is why some Ashby applications simply go quiet forever.

Why Ashby rejections can arrive days later

Ashby supports auto-reject rules on application questions. According to Ashby’s docs, they run only at the moment you submit, checking your answers against conditions the employer set (for example, an answer that equals or contains a particular value). If a rule matches, you’re rejected straight away, and the employer chooses a rejection template and can delay the email by a set number of business days.

So a polite rejection that arrives two or three days after you applied may have been decided the second you clicked Submit. Ashby employers can also reuse the same questions, with the same rules, across all their jobs, which means one answer can affect several applications at the same company. Read yes/no and dropdown questions slowly. I go through how each ATS handles this in Greenhouse vs Lever vs Ashby vs Workday.

How to follow up on an Ashby application

  • Wait about two weeks after applying, or a week after an interview, unless the employer’s post-apply message gave a different timeline.
  • Don’t reply to no-reply@ashbyhq.com. Reply to an email a recruiter wrote you, or find them or the hiring manager on LinkedIn.
  • Name the job precisely. Include the title and the posting link from jobs.ashbyhq.com; startups often have several similar openings.
  • Keep it short: when you applied, one line on why you fit, and that you’re glad to talk.

How to withdraw an Ashby application

There’s no withdraw button for candidates. Email the recruiter or hiring contact, name the role, and ask them to withdraw you; they archive the application on their side. If you’ve already interviewed, a short thank-you in the same email is the polite way to do it.

Keep track yourself

With no portal, the only list of your Ashby applications is the one you keep. That matters more here than anywhere: Greenhouse has MyGreenhouse (see Greenhouse application status explained), Workday has Candidate Home (see Workday application status explained), and Ashby, like Lever, has nothing.

Note the company, role, posting link, date, any timeline the employer promised, and the resume you sent. A job application tracker keeps that in one place. SealApply’s tracker moves each job through stages from Applied to Offer to Accepted and keeps the exact resume and cover letter you sent with it, so when a scheduling email turns up three weeks later you know what they read.

For the form itself, SealApply’s free widget fills Ashby applications from your saved profile and attaches your tailored resume. You check it, answer the employer’s questions yourself, and press Submit.

Frequently asked questions

Can I check my application status on Ashby?

No, Ashby doesn't give candidates a login or status page. Every update comes by email, from the employer or from Ashby's no-reply address on the employer's behalf.

Does Ashby send an application confirmation email?

Only if the employer has set one up. Ashby's docs say the confirmation is sent only to candidates who apply through the employer's job board, so not everyone gets one.

What does "archived" mean on Ashby?

Archived means that application is closed in the employer's Ashby account. The employer picks an archive reason you never see, and it can cover anything from not selected to a cancelled role.

Why did I get an Ashby rejection a few days after applying?

Often it's an auto-reject rule on the employer's application questions. Ashby runs those rules when you submit, and employers can delay the rejection email by a set number of business days, so the timing doesn't mean someone reviewed you that day.

Is an email from no-reply@ashbyhq.com real?

It can be. Ashby sends employers' automated emails from no-reply@ashbyhq.com with a "Report this email to Ashby" footer. Still check that it names a company and role you applied to before clicking anything.

How do I withdraw an Ashby application?

Email the recruiter or hiring contact and ask them to withdraw you. There's no candidate-side withdraw button on Ashby, so the employer archives the application for you.

Can Ashby support tell me my status?

Your status lives in the employer's Ashby account and the hiring decisions are theirs, so ask the company. Ashby's documentation offers no candidate-facing status channel.
